Custom CRM development

Custom CRM development built around how you work

One AI-first CRM shaped around your pipeline, jobs and people, so you can drop the pile of subscriptions, keep your data in one place and talk to it by voice or text.

What does a business get from custom CRM development that it can't get from a subscription it could sign up for this afternoon? Mostly, a system that already knows how the business works. Your pipeline, your job stages, your people, and the way a customer moves from the first phone call to the final invoice. Off-the-shelf tools ask you to fit their template. We build the template around you.

Imagine AI Software builds AI-first CRM systems for Australian businesses: trades, clinics, professional services firms and agencies, whether that's three people or forty. We're Australian owned and operated, based on Flinders Street in Melbourne, and this page sets out what we build, how a project runs, and when you'd honestly be better off with something off the shelf.

What custom CRM development looks like with us

A CRM is a record of your customers, your work and every conversation in between. A custom one has the screens, rules and automations shaped to the way your work actually flows. That sounds obvious. Yet plenty of businesses run a CRM that was set up for a generic sales process and then patched until nobody remembers why the "Stage 4b" column exists.

Take a plumbing business that quotes over the phone, books the job, sends a tech, orders parts and invoices through Xero. A generic CRM sees a "deal" with a value and a close date. The plumber sees a job with a site address, an access note about the dog, a parts list and a customer who wants to know when the van is turning up. We build for the second view.

So the pieces change with the business. A clinic gets patients, appointments and referral sources. A law or accounting practice gets matters, deadlines and billable work. Underneath, every build shares the same core: contacts and companies, a pipeline named the way your team talks, tasks and reminders, documents, notes, and a full history of calls, emails and payments against each customer.

"AI-first" means the intelligence sits in the middle of the system rather than being bolted onto the side. New enquiries get read and sorted the moment they arrive, which is where AI lead qualification comes in. Quotes that go quiet get chased by automated follow-ups that sound like your team. A job that has sat in the same stage for too long gets flagged before the customer rings to ask about it.

One place for your data, fewer subscriptions to pay for

Here's the pitch we give on first calls, more or less word for word: "Imagine a world where you don't have to pay multiple subscriptions a year, you have all your data and software in one place, you can talk to your software using voice or text and changes and fixes are done within days."

The subscription problem creeps up slowly. A CRM, then a booking tool, a form builder, an SMS add-on, a quoting app, a reporting plugin. Each one has its own login, its own monthly bill and its own copy of the customer's phone number. When a customer changes their number, one system gets updated and the other four don't. Six months later someone sends a reminder to the old one.

Replacing that stack with one system gives you one record per customer, one login per staff member and one place to look. It also means your reporting finally adds up, because the numbers come from a single source instead of three exports glued together in a spreadsheet. Our CRM reporting dashboards are built on that single record, so the figure on the screen matches the figure in the books.

We're not against every subscription on principle. Your accounting package should stay your accounting package, and your email should stay in Microsoft 365 or Google Workspace. The CRM connects to those rather than replacing them, and our page on CRM integrations that bring your systems into one covers how that works with Xero, MYOB, QuickBooks, Stripe, your website and your phone system.

Talk to your CRM by voice or text

Most CRMs assume someone is sitting at a desk with time to click through four screens. Your team is often in a van, at a reception counter or between appointments. So every system we build can take instructions in plain language, typed or spoken.

"Show me every quote from last week that hasn't had a follow-up." "Move the Hendersons' job to Thursday and text them the new time." "What did we last say to the client on the Brunswick fit-out?" The CRM answers, or does the task, and checks with you before anything that can't be undone, like sending a message or changing an invoice.

It sounds like a gimmick until you watch someone update a job from a car park in thirty seconds instead of waiting until they're back at the office and have forgotten half of it. Calls coming in can be handled the same way; our AI receptionist for after-hours and busy-line calls answers, takes the details and drops them straight into the right record.

Because AI is doing real work inside your system, you should know where your data goes. We tell every client which AI providers process their data and where it is hosted, and it is never used to train those providers' models. No vague "industry-standard security" line. A straight answer to a fair question.

Changes and fixes done within days

With a template CRM, a missing feature means a request on a public ideas board, a wait of unknown length, or another add-on with another bill. With a system built for you, the request goes to the team that built it, and changes and fixes are done within days.

A change might be a new field on the job screen, an extra pipeline stage, a report your accountant keeps asking for, or an automation that texts customers the day before a booking. Small things, mostly. Small things are exactly what template software is worst at, because your small thing isn't on anyone's roadmap.

Bigger pieces, such as a new module for stock or a customer portal, get scoped and quoted the same way the original build was, so you know the cost before work starts.

We'd argue this is the real cost of off-the-shelf software. Not the subscription. It's the hours your team spends working around a screen that doesn't fit, and the side spreadsheets that grow up to fill the gaps.

Moving off spreadsheets or another CRM

Nobody starts from a blank page. Your customer history is sitting in spreadsheets, an old CRM, an inbox, a job management app or all four. We move it across so day one in the new system looks like your business, not an empty demo.

  • We map every column and field from the old sources to the new structure, and show you the map before anything moves.
  • Duplicates are merged, phone numbers and addresses are tidied into one format, and records that can't be matched get flagged for a person to decide.
  • Notes, past jobs, attachments and dates come across with the customer, so the history isn't lost.
  • We run the import into a copy first, you check a sample of records you know well, and only then do we switch over on a day that suits you.

A migration is also a good moment to clear out records you no longer need. The business.gov.au guide to protecting your customers' information explains that under the Privacy Act 1988 you may need to destroy or de-identify personal information once you no longer need it. If the Act covers your business, the Australian Privacy Principles published by the OAIC set out how that information must be handled. We build the CRM with those obligations in mind, though your own legal adviser is the right person to confirm what applies to you.

How a build runs, from first call to launch

There are three steps, and the first one costs you half an hour.

  1. A 30-minute call. We ask how work flows through your business and where it gets stuck. Where do enquiries come from? Who touches a job and when? What do you currently copy from one system into another? Which report do you wish you had?
  2. A scoped build with a fixed quote. We write up what we'll build, what it connects to and what data moves across, and give you a fixed quote before work starts. If something isn't in scope, it's written down as not in scope, so there are no surprises on the invoice.
  3. Launch, training and ongoing support. We switch you over, train your team on the system they'll actually use, and stay on for changes, fixes and new ideas once it's running.

When an off-the-shelf CRM is the better choice

Custom isn't right for everyone, and we'd rather tell you that on the first call than after you've paid for a build. An off-the-shelf CRM is probably the better pick if you're a sole trader with a short, simple pipeline, if you need something running by Friday, or if your sales process genuinely matches the standard lead-to-deal funnel these tools were designed around. Some franchises and regulated industries also mandate a particular package, and fighting that rarely ends well.

QuestionOff-the-shelf CRMCustom CRM from us
How soon can we start using it?Usually straight awayAfter scoping, build and migration
Does it fit our process? You adapt to its templateBuilt around your pipeline and jobs
Who makes changes? The vendor's roadmap, or an add-onOur team, within days
How many systems hold customer data?Often several, plus spreadsheetsOne record, connected to your other tools

Where custom earns its keep is the business that has outgrown the template: several staff, a process with its own quirks, a pile of subscriptions that don't talk to each other, and a growing list of things the current system "just can't do".

Questions we get asked

How long does a custom CRM take to build?

It depends on what's in scope: how many processes, how many integrations and how much data has to move. After the 30-minute call we scope the build and you get the timeline alongside a fixed quote, before any work starts.

Will it work with Xero, MYOB or QuickBooks?

Yes. We connect the CRM to Xero, MYOB or QuickBooks, as well as Microsoft 365, Google Workspace, Stripe, your website and your phone system, so customer details, invoices and payments line up across all of them.

Which AI providers see our data?

We tell you exactly which AI providers process your data and where it is hosted before anything goes live. Your data is never used to train those providers' models.

We already pay for a CRM. Can you move us off it?

Yes. We move your contacts, history, notes and attachments across from your current CRM or spreadsheets, test the import with you, and switch over on a day that suits your team.
